Time Tracking
Log hours with a timer or by hand, and submit weekly timesheets for approval
Time entries are what hourly work is invoiced from. Each entry is hours on a project (and optionally a task) on a given day, optionally with the start and end time it was worked. You can log time with a timer or by hand, from the Time page, a task, or an AI agent over MCP.
How to log time by hand
- Go to Time and click Log time (or click Log time on a task's sheet, which fills in the project and task).
- Pick the Project and, optionally, the Task.
- Set the Date and Hours (decimal hours, up to 24 in one entry; for
example
1.5for an hour and a half). Or fill in Start and End and the hours are worked out for you; see Start and end times. - Optional: add a Description. It appears in exports and timesheet reviews.
- Leave Billable ticked for client work. Untick it for internal or non-billable work: it still counts toward budgets and utilization but never goes on an invoice.
- Owners and admins also see:
- Assigned to — log the time for someone else. It has to be someone in your organization (That person isn't a member of this organization.).
- Rate override — bill this entry at a different hourly rate. Leave it blank to use the person's rate on the project.
- Click Log time. The entry appears under its day.
Each time someone logs time, the other owners and admins get the Someone logs time alert: in the app always, and in Slack (on by default) or email as chosen under Settings → Alerts. It isn't sent when the only owner or admin logs their own time.
How to use the timer
- Click Start timer in the top bar, pick the Project (and optionally a Task, Description and Billable), and click Start timer. Or click the play button on any task to start a timer on that task.
- The running time shows in the top bar.
- Click Stop. The elapsed time is logged as an entry dated the day the timer started, with its start and end time (in your browser's time zone) and the hours between them to the minute. A timer left running more than 24 hours is logged with hours only.
- Only one timer runs at a time. Starting a new one stops the running one and logs its time first.
- Discard: the X next to the running timer throws it away without logging anything.
- A timer stopped after less than 36 seconds logs nothing.
- If the time can't be logged (for example the week is locked), you see the error and the timer keeps running, so nothing is lost.
Over MCP: start_timer, stop_timer, get_active_timer. stop_timer (and
start_timer, when it stops a running timer) takes an optional timeZone
such as Europe/London for the entry's times; without one they're UTC.
Start and end times
Any entry can say when it was worked, not just for how long: Start and End sit next to Hours in the log time dialog.
- Fill in both and Hours is worked out from them, rounded to the organization's setting (below). You can still change Hours, for example to take off a lunch break, but not to more than the time between start and end.
- End earlier than start means it ran past midnight: the dialog says Ends the next day, and the entry stays on the start's date.
- Leave both empty to log hours only, as before. Start without end (or the other way round) isn't allowed.
- Times are wall-clock times as entered; there's no time zone conversion. Entries with times show them next to the hours, e.g. 09:10–11:45, on the Time page, projects, tasks, the dashboard and Export CSV.
- Hours is always what's billed. Times are a record of when.
Rounding
Under Settings → General → Round clock times to, an owner or admin chooses how hours from start and end are rounded: Exact minute, 6 minutes (0.1 hour) or 15 minutes (0.25 hour, the default). Only the worked-out hours are rounded; the times are kept as entered. A span shorter than one step counts as one step.
Overlapping time
If a new or changed entry's times overlap another of your timed entries (the
same day, or the next or previous day for time past midnight), it's saved
anyway and you see a warning such as Overlaps 09:00–10:30 on Acme ·
Website. The API and MCP return the same text in warnings.
Requiring start and end times
To make everyone record when they worked for a client, edit the client and tick Require start and end times (under Time). From then on, time on that client's projects can't be logged or changed without a start and end, from the app, the API, MCP or an import (This client needs a start and end time on every entry.). The log time dialog says so when you pick one of its projects. Timers always record times, so they're unaffected. Existing entries without times are left as they are until someone edits them.
Evidence (screenshots)
Attach screenshots or PDFs to a time entry as proof of the work, for example when a client wants to see what was done in the hours billed.
- While logging or editing time: paste a screenshot (Cmd+V / Ctrl+V) anywhere in the dialog, drop files on Evidence, or click browse. Tick Let the client see them on the invoice to share them.
- Afterwards: click the paperclip on the entry (on Time or the project's Recent time entries). It shows how many files there are. There you can paste or drop more, open each one, tick Client can see it, or delete it.
PNG, JPEG, GIF, WebP and PDF files are accepted, up to 5MB each (25MB with S3 storage) and 20 per entry. Files are checked by their contents, not their name. Pasted screenshots are named Screenshot followed by the date and time.
Anyone who can see the project can open an entry's evidence. You can add or remove evidence on your own entries; owners and admins can on anyone's. This works even after the entry is invoiced or its week approved, since evidence doesn't change what's billed.
Evidence is internal unless you tick Client can see it. The client sees those files only through the time detail on their invoice, and only when that invoice carries its timesheet (the client's Include a timesheet on invoices, or the invoice's own Include the timesheet).
How to see your week, or the team's
Time shows one week at a time, Monday to Sunday, with the total logged. Use the arrows to move between weeks and This week to come back.
Owners and admins also get tabs (members see the Meetings tab once they've connected a calendar):
- My time — your own entries.
- Team — everyone's entries, with a person filter.
- Approvals — timesheets waiting for review, when timesheet approval is on.
- Meetings — see Logging meetings.
Entries are badged Non-billable, Rate override, Approved or Invoiced where that applies.
How to edit or delete an entry
Click the pencil on the entry to edit it, or the bin icon to delete it (you're asked to confirm). You can change your own entries; owners and admins can change anyone's from the Team tab. You can only move an entry to a project you can see.
An entry can't be changed or deleted once it's on an invoice: it shows Invoiced and has no pencil or bin. To change invoiced time, delete the draft invoice (or remove its line) first, which makes the time unbilled again. Once an invoice is sent, its time stays locked.
If timesheet approval covers you, you also can't change time in a week that's submitted or approved.
How to export time
Click Export CSV on the Time page. It exports the week you're looking at, and on the Team tab respects the person filter. Start and End columns hold each entry's times (24-hour), or are blank. The file opens in Excel, Numbers or Google Sheets.
Overhead
Under Settings → General → Overhead (%) (default 0), an owner or admin can add a percentage to hourly rates on invoices. It's applied when an invoice is generated and baked into the rate shown on each hourly line, not added as a separate line. Time entries and project rates don't change.
Timesheet approval
Timesheet approval makes people submit each week's time, and an owner or admin approve it, before that time can be invoiced. It's off by default.
How to turn it on
- Go to Settings → General (owners and admins).
- Set Timesheet approval to:
- Contractors — only members whose employment type is Contractor (set under Settings → Members).
- Everyone except admins — every member who isn't an owner or admin.
- Save.
Owners and admins never need approval for their own time.
How to submit your week
If approval covers you, the Time page shows a Timesheet bar for the week you're viewing.
- Log the week's time.
- Click Submit week. The bar shows Waiting for approval, and owners and admins get a timesheet submitted alert.
- While it's waiting, the week is locked. To change something, click Recall, edit, and submit again.
- When it's reviewed you get a notification:
- Approved — the week stays locked and its billable time can now be invoiced.
- Changes requested — the reviewer's note shows in the bar. Fix the time and click Resubmit week.
You can't submit a week with no time logged.
How to approve timesheets
- Go to Time → Approvals (owners and admins).
- Each submitted week shows the person, the week, total and billable hours, and every entry.
- Click Approve, or Request changes, type what needs changing (they see it), and click Send back.
What approval changes
- New invoice and billing cycles only pick up approved time, plus time from people approval doesn't cover. New invoice says how many hours are still waiting for approval. A billing cycle leaves unapproved time for its next run.
- Owners and admins can still add or edit time in an approved week; what they add counts as approved.
- An approved week can be sent back (reopened) with the MCP
review_timesheettool. Time from it that's already invoiced stays invoiced.
Over MCP: submit_timesheet, list_pending_timesheets, review_timesheet.
Logging meetings from your calendar
Connect your calendar's private iCal (.ics) link on your Profile and your meetings appear under Time → Meetings, each with a suggested project. Logging one adds its length as time on that project, dated the meeting's day and with its start and end time; you can also ignore it. Setup and details are in Calendars.
